Planning an Event From the First Outline

A good virtual event starts with a clear answer to one question: why are people joining?

We define your purpose, audience, format, and date, then build a planning schedule with a deadline for each task. You always see what is finished and what comes next.
The format follows the purpose. A webinar fits a single topic with questions at the end, a workshop gives attendees a task to complete, and a summit links several sessions into one program. Product launches, networking sessions, and corporate meetings each get a run of show built for their goal.

Running the Day Itself

Event day should hold no surprises.

We collect speaker bios and slides, schedule a short technical check with each presenter, and give them clear instructions on timing and platform controls. Your run-of-show notes list every cue, so the host knows when to introduce a speaker, open a poll, or move to questions.
Registration and reminders go out on a timeline you approve, and we answer attendee questions before the event. We recommend a backup plan, such as a second meeting link, and will help you prepare one.

Promotion, Follow-Up, and Honest Limits

Invitations, social posts, and email announcements go out in the weeks before your date. Afterward, we send thank-you messages, share recordings you approve, and collect feedback. A short summary of the attendance figures your platform reports closes the project. Attendance depends on your audience and your offer, and Hearts Touch cannot promise turnout. Platform fees come from the provider, and your proposal states whether we bill them at cost.
